Primary Duties

Program/Role: Contracts Coordinator and Salesforce Administration

Location: Minneapolis, MN. GPI’s headquarters are based at 2801 21st Avenue South, Suite 220 in Minneapolis, MN. WFH Flexible

Reports to: Grants and Contracts Manager

Type of Position: Full time position

Ideal start date: As soon as available, position will be open until filled

Compensation: Salary range: $57K-$69K, commensurate with experience. Benefits include a health plan, 401(k) retirement plan, LTD, STD, life, vision, dental, FSA/HSA, paid time off, professional development allowance, and a communication stipend.

JOB DUTIES:

Provide ongoing contract support (approximately 70%):

  • Develop (from templates) or modify vendor and fee-for-service contracts
  • Work with programming teams, vendors, insurance providers, etc., toward final contract versions.
  • Submit all contracts to appropriate personnel for review/edit/approval for signatures
  • Facilitate full execution of approved contracts including outside vendors/subcontractors
  • Track contracts/documents in database and ensure all elements needed for payment and/or contract requirements are attached to the record
  • Coordinate schedules and be available for opportunity lead up assistance and submission deadlines, as well as subsequent reporting requirements
  • Collaborate with appropriate colleagues to ensure that terms of contracts are fulfilled and that financial transactions are processed appropriately
  • Assist to create and maintain processes to facilitate the workflows associated with all organizational contracts
  • Ensure ongoing accessibility of most recent versions of typical grant/contract organizational requirements such as: budgets, audit and financials, policies, DEI info and updates, board of directors’ lists, etc. 
  • Register and/or maintain organization accounts on state, federal, and corporate portals
  • Assist finance team with projects to assist with workflow. Manage some administrative contracts where applicable

Organization CRM administration – Salesforce (approximately 30%):

  • Manage licenses and user accounts including new user setup/deactivation, roles, profiles, permissions
  • Create training materials, provide training/support to users with goal of staff adoption of Salesforce
  • Create contact records and enter opportunities, Perform ongoing database record updates.
  • Create Salesforce reports

Experience

DESIRED QUALIFICATIONS AND SKILLS:

  • Commitment to the mission and goals of the Great Plains Institute 
  • At least 4 years demonstrated administrative experience
  • Salesforce administration experience 
  • Knowledge and experience with grant proposals and contract development and processing. Familiarity with legal terminology. 
  • Ability to work with many different people, juggle multiple tasks in an organized way, and manage expectations and tasks with individuals at all organizational levels
  • Detail-oriented and able to work independently, accurately and with minimal direction 
  • Excellent time and deadline management, project management and team relationship skills 
  • Excellent written, verbal, and interactive communication and typing skills 
  • Fluent in relevant computer programs in a Microsoft environment including: SharePoint, Outlook, Excel, Word, PowerPoint, etc.
  • Demonstrated experience with Salesforce administration.
  • Other platforms include: common customer relationship management databases, fundraising and communication platforms, online email marketing software, web-based project management and web content management systems. Adobe software experience

EQUIPMENT USED:

This position involves use of a computer/laptop, copier, calculator, printer, and telephone

PHYSICAL REQUIREMENT:

This position requires working at a desk (either sitting or standing) for extended periods and extensive use of devices (e.g., keyboard, mouse), as well as usage of telephone/headset.
