Primary Duties

Loan Services Assistant:

The Loan Services Assistant will be responsible for assisting the Lending Center in the administration of the loan process.  This position includes, but is not limited to performing loan closing and post-closing responsibilities, managing and screening incoming applications and related documentation, mailing loan applications and answering incoming inquiries about loan programs

The position will require flexibility to help with the overflow work from other departments and work in both the Minneapolis and St. Paul offices.

The Loan Services Assistant has no direct reports and reports directly to the Loan Services Manager.

  • Mail application packages
  • Initial review of incoming applications and distribute loan files and all related loan documentation to appropriate lending staff
  • Answer questions and incoming phone calls from potential loan clients
  • Prepare loan documents and execute loan closings as needed
  • Request and disburse loan funds as needed
  • Prepare loan Purchase Approvals and Loan Certifications
  • Assist with post-closing duties; scanning files, ship loan packages to servicing companies, send mortgages to be recorded and accurately enter recording information in database
  • Ensure loans are sent to set up correctly with loan servicing companies, verify mortgages are recorded and accurately enter recording information in tracking database
  • Review monthly invoices for billing accuracy and payment approval
  • Assist with office coverage at the St. Paul Office, conduct closings and any department support as needed
  • Assist with initial review of incoming applications and loan documentations as needed

General Responsibilities

  • Understand and follow processes and procedures required for the job
  • Attend trainings as requested and read organization-wide emails and correspondence
  • Check your email each working day, respond promptly and use the calendaring system
  • Adhere to job duty and attendance expectations as directed by your supervisor
  • Must be able to work nights and weekends, as needed
  • Work professionally with co-workers, clients, and vendors
  • Perform duties accurately, honestly, and timely
  • Must demonstrate excellent time-management and organizational skills, and the ability to meet deadlines
  • Other tasks as assigned or apparent


  • 2 + years of customer service, office or administrative assistant experience
  • Excellent written and verbal communication skills and great attention to detail
  • Knowledgeable in lending documents, terminology, and regulations
  • Must have basic computer skills and high comfort level with modern office technology
  • Access to reliable transportation
