Program Coordinator

Depending upon experience and qualification, we expect the hiring range for this position to be $24-$26/hr
The Program Operations Coordinator will join our Program Development (PD) team at the Center for Energy and Environment (CEE) and be highly organized, self-directed, and proactive in their approach to work. This role provides administrative and project management support to CEE's PD Team to help ensure departmental programs and pilots efficiently and effectively meet their goals. This role also provides additional project management support by maintaining and supporting our data tracking systems, assisting with program reporting and invoicing requirements, and providing project assistance for the program development team’s programmatic initiatives. The position reports to the Director of Program Development and works closely with the PD Leadership team.
The ideal candidate will be able and interested in learning about energy efficiency and decarbonization. Applicants should be highly organized, process-driven, productive, and detail-oriented. They will be excellent at verbal and written communication, and collaborative in their work habits, able to work with various highly competent individuals. They will be fluent in Microsoft Office tools and a quick learner in taking on various diverse tasks that support the program development’s programmatic efforts.
Responsibilities
- With guidance, develop and maintain various project management tools, including but not limited to tracking of RFP/DOE and other funding opportunities and industry conferences, staff allocation, and budget management tools.
- Maintain PD Resource library.
- Contribute to business development and proposal activities
- Monitor active and upcoming tasks for projects that follow the Opportunity Development Process to ensure they are on schedule and meeting timelines.
- Provide administrative support for internal CEE meetings, including taking notes
- Produce reports and materials on programmatic activities, including financial reports (budget tracking and forecasting)
- Provide support as needed to PD leadership on their programmatic efforts
- Prepare materials for and help facilitate meetings for the PD Team.
- Collect and analyze program data and summarize results
- PD’s interface to the IT team to ensure PD needs are addressed as the organization updates and transitions to new organization-wide data collection and reporting tools.
- Assist with program planning, budgeting, invoicing, and general program management
- Other duties as assigned.
Qualifications
- 2- or 4-year degree program in a related field or equivalent experience demonstrating project management and administrative skills
- Understanding of and experience with project management
- Ability to organize, manage and update project plans and timelines
- Capacity for understanding and communicating technical issues
- Comfortable learning new skills and working in a dynamic environment where responsibilities may change
- Experience with energy efficiency or related field is preferred
- Ability to work effectively in cross-functional teams and on a variety of tasks
- Exceptional organization and time management skills and the ability to prioritize
- Clear and concise written and verbal communication skills
- Strong interpersonal skills
- Excellent computer literacy and keyboard skills
- Advanced skills in Microsoft Office Suite, including Word, Excel, PowerPoint, and other related software
- Capacity to learn and utilize project management and collaboration tools such as Salesforce, MURAL, etc.
- At least two years experience in a professional environment providing project support.
