Invest in Our Future is a national philanthropic effort to build a clean energy economy that generates real benefits for communities across the country — from creating good union jobs and revitalizing local economies to reducing pollution and lowering energy bills. We are hiring roles on our program and operations teams.

The Program Coordinator will support the Grantmaking Program Team in their mission to design and implement a grantmaking portfolio that advances IOF’s agenda. The Program Coordinator will be a member of the Program team, who are broadly responsible for strategy development, grant making, grant and relationship management with grantees, and ongoing evaluation and learning. The Coordinator will provide critical support to enable the Managing Director and the Program team to achieve IOF’s agenda. To be effective in this role, the candidate must be able to advance work independently, with day today work involving a mix of project management, grants management, research, and team coordination responsibilities.

The Coordinator reports to the Managing Director (MD) and will provide administrative support, coordination, and organizational support for the Program team. This will include but is not limited to: assisting the team with scheduling meetings and developing materials, planning meetings and related organizational events, creating and maintaining grant management processes in collaboration with the rest of the Program team, and assisting with other grant management tasks as they arise.

Primary Duties
  • Team Coordination & Administrative Support: Support overall team project management by designing and maintaining team tools and systems (50%)
    • Provide scheduling assistance to Managing Director, support other team members on an as needed basis with travel and scheduling.
    • Design team meeting agendas, capture key takeaways and action items
    • Maintain and monitor team progress against its objectives and key results.
    • Create a suite of tools and to support the team’s internal management and external communications (e.g., one page overview of the portfolio, timelines, budget trackers, grantmaking and grantee deliverable schedules, tracking of progress and metrics, calendar of events and communications, etc.)
    • Contribute to communications collateral such as team updates, briefing reports, talking points, etc.
    • Contribute to the development and execution of IOF’s strategy as needed, such as by documenting lessons learned from key projects or preparing briefings
  • Project Coordination: Support key projects led by the Program team, which may include both leadership and support roles on project execution, management, and coordination (50%)
    • Structure and manage project timelines and workplans, proactively spot opportunities to accelerate our impacts or avoid potential risks
    • Support the diligence of prospective grantees and preparation of grants, such as by conducting research on specific organizations, leaders, or communities, participating in site visits, and drafting grant memos
    • Support ongoing program strategy and execution through tracking grantee progress and overall organization impact
    • Serve as a resource and point of contact for grantees and partners
  • Helps build a culture of transparency, collaboration, and support among colleagues, and embraces a culture of inclusivity, belonging, and diverse perspectives.
Experience
  • Bachelor’s degree preferred – we are open to candidates who do not have a degree if they have an equal number of years of directly relevant experience
  • At least 2 years of experience in a related field (e.g., government, nonprofit, consulting); strong analytical, research and writing skills
  • Work effectively both independently, as well as in a team-oriented, collaborative, and collegial environment.
  • Proven excellent project management and organizational skills with a demonstrated ability to deliver high quality, accurate work on time.
  • Experience documenting and summarizing complex content in a clear and actionable fashion.
  • Has excellent interpersonal skills and is effective in developing positive and productive relationships with all levels of staff and management across the organization.
  • Creates new and better ways for the organization to be successful.

  • QUALIFICATIONS AND SKILLS

  • PROJECT MANAGEMENT: High operational and project management ability; proactive both in taking action and asking clarifying questions. Sound, mature judgment, integrity, and respect for others.
  • PROJECT MANAGEMENT EXPERIENCE: experience in project management in a relevant setting, such as a large nonprofit, philanthropy, government agency, or consulting firm.
  • EXECUTION: Strong project management skills; meets deadlines; a sense of urgency and responsibility; ability to multi-task and work under pressure; detail oriented
  • COMMUNICATION: Excellent interpersonal abilities; good listening skills; writing and verbal skills; assertiveness in presenting ideas
  • INTEGRATION & TEAMWORK: Act as a considerate team player; demonstrate inclusiveness as part of a team that values diversity, collaboration, and supporting each other’s professional development
