Primary Duties

Responsibilities

  • Send rebate applications out to customers via DocuSign procedures. Follow up with phone calls and emails to the recipients of the rebate applications.  
  • Enter invoice and signed documents into Salesforce and iFacet. Document communications. 
  • Pull and upload reports into Workzone and follow up with emails to Xcel Energy Account Managers and Representatives. 
  • Contact interested customers regarding lighting needs and interests.  Schedule appts for Lighting Consultants.    
  • Weekly ACH direct deposits which comprise of verifying contractor information and amount of deposit from iFacet and
  • Salesforce databases and following up with entering data via US Bank ACH and Salesforce. 
  • Verify received checks in Salesforce from direct deposit projects.
  • Send DocuSign direct deposit forms to new/interested contractors and forward completed forms to accounting after setting up folders.
  • Perform follow-up survey calls for the One-Stop lighting program for quality assurance purposes, document phone calls and results for tracking. 
  • Assist in entry of new properties to HVAC and Refrigeration in software and Salesforce. 
  • Monthly scanning, organizing, uploading, and documenting of signed terms & conditions form for smart thermostats 
  • Prepping all files for weekly rebate invoicing.
  • Assistance with administrative tasks as assigned. 
  • Other duties as assigned. 
Experience

Qualifications

  • Three years of office/clerical experience which includes one year in a directly related function; or any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
  • At least 1 year of experience in program assistance/administration. Must demonstrate excellent customer relations and professional written and verbal communication skills. 
  • Must demonstrate excellent time-management and organizational skills, and the ability to meet deadlines. 
  • Must have basic computer and keyboard competency and show proficiency in Microsoft Office Word and Excel. 
  • Salesforce experience a plus. 
  • An orientation toward teamwork
