Primary Duties

The Staff Accountant is responsible for the general accounting functions of the Center for Energy and Environment.  This is an administrative level position that reports to the Controller. The Staff Accountant will work with staff, program managers, department managers, vendors and customers to facilitate accurate and timely posting of accounting entries and to provide support of the general office administration. This is a full time position that provides a wide range of benefits including Paid Time Off (PTO), medical, dental, life and long term disability insurance and a retirement plan. 

Responsibilities

Accounts Payable/CEE expenses

  • Review employee reimbursement requests, daily invoices, and purchase requests for completeness and accuracy related to internal control procedures as well as general ledger account code.

  • Prepare weekly check disbursement report and back-up materials for processing.

  • Prepare monthly CEE credit cardholders’ statements for processing.

  • Prepare and record journal entries as needed.

  • Communicate with various managers/supervisors for invoice approval, project codes, and clarification on transactions as needed.

  • Strong organization skills/understanding of vendors to know when most invoices arrive, need to be paid, and how to correctly code them.

  • Prepare financial information related to employee travel pre-approval forms and per diem processes.

  • Assist new employees on mileage and expense reimbursement form.

  • Properly record and track fixed asset purchases and maintain related supporting documents.

 
Accounts Receivable/CEE revenue

  • Prepare deposits (includes bank deposits, PayPal, and EFT payments) - understanding of the general ledger accounts to properly code incoming payments.

 
General accounting and administrative support

  • On-going monitoring and work flow processing through department email (primary responsibility for the expense-related items).

  • Maintain an organized workspace where files, invoices, etc. are easily accessible for yourself and others as appropriate.

  • Maintain accurate and up-to-date records within the required software (i.e. Quickbooks, Microsoft Office applications).

  • Maintain appropriate file retention (both paper and electronic) over the course of the fiscal year so, at the audit time, supporting documentation can be gathered quickly.

  • Audit preparation and support.

  • Perform tasks, sometimes on short notice, as requested by accounting staff.

  • Communicate/check-in with other administrative staff when additional support is needed.

  • Back-up front desk, as requested.

  • Other duties as assigned.

 
General responsibilities

  • Support CEE staff by maintaining productive and positive interactions.

  • As an employee with access to highly sensitive materials, maintain a high level of confidentiality at all times.

  • Understand and adhere to corporate policies and procedures, attend trainings as requested and read corporate wide emails and correspondence.

  • Understand and follow the processes and procedures required for the job.

  • Respond to meeting requests, check emails and input your activities into your Google calendar.

  • Schedule and attend meetings as applicable.

  • Prepare annual reviews and adhere to job duty and attendance expectations as directed by your supervisor.

Experience

 
Qualifications/Job Requirements

  • 2 year accounting degree or equivalent experience in the accounting field.

  • Basic knowledge of Generally Accepted Accounting Principles (GAAP).

  • Intermediate knowledge of MS Excel and MS Word and basic office experience required.

  • Knowledge of QuickBooks accounting software, Access databases and nonprofit accounting a plus. 

  • Must be very detailed, have excellent communication skills, the ability to meet deadlines and be able to work independently.

  • Develop and maintain a professional office environment and demeanor.

  • Routinely use standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines; may occasionally lift or move up to 25 pounds.

  • Must be able to travel to both the St. Paul and Minneapolis office locations.

  • Primary working hours are during CEE’s business hours (40 hours per week), but overtime hours may be required occasionally throughout the year (for example, in preparation for the annual financial audit).
