Founded in 2015 by Ivan and Mary Idso, EarthFest is a 501(c)(3) nonprofit organization dedicated to fostering a more environmentally sustainable community. Our mission is to raise awareness, provide education and resources, and inspire action toward sustainability.

The EarthFest Expo is the cornerstone of our efforts, held annually in the Spring. This one-day event gathers local and regional environmental organizations, businesses, and community members in one place, attracting over 500 attendees each year. It serves as a vibrant platform for showcasing sustainable innovations, sharing knowledge, and connecting the community.

Beyond the Expo, EarthFest supports and promotes a wide range of partner events throughout the Rochester area, offered by local environmental organizations. These events further our mission by engaging the community in meaningful discussions, activities, and initiatives that inspire lasting change.

Through collaboration and celebration, EarthFest continues to empower individuals and organizations to work together toward a healthier, more sustainable future.

Salary

Compensation: $20–$30 per hour, depending on experience.

Hours

Position type: Temporary, part-time independent contractor.
Contract period: December 2026–May 2027.
Estimated hours: 120–160 hours total, ranging from approximately 2–4 hours per week during early planning to 15–20 hours per week immediately before the event.
Location: Primarily remote, with occasional in-person meetings and site visits. Some evening and weekend hours may be required.

Required attendance: EarthFest Expo on May 1, 2027, and key setup activities immediately preceding the event.

Primary Duties

What You’ll Do

Coordinate speakers, activities, exhibitors, vendors, and volunteers; maintain the planning timeline and event schedule; support marketing and community outreach; track expenses and sponsorship revenue with the Board Treasurer; and lead event-day operations. After the Expo, you’ll gather feedback, summarize outcomes, and organize materials for future events.

Who We’re Looking For

Candidates should have experience coordinating events, programs, projects, or community initiatives, along with strong organizational and communication skills, the ability to work independently, and proficiency with Google Workspace and common office software.

Experience with community festivals, volunteers, sponsors, nonprofit organizations, sustainability initiatives, Canva, social media, or event marketing is a plus.

Minimum Qualifications: 

● Experience coordinating events, programs, projects, or community initiatives. 

● Strong organizational and project management skills. 

● Excellent written and verbal communication skills. 

● Ability to work independently with minimal supervision. 

● Proficiency with Google Workspace and common office software. 

 

Preferred Qualifications: 

● Experience coordinating community events or festivals. 

● Experience working with volunteers, sponsors, or nonprofit organizations. 

● Familiarity with sustainability, environmental education, or community engagement initiatives. 

● Experience with Canva, social media, or event marketing.
