MIGIZI provides a strong circle of support that nurtures the educational, social, economic, and cultural development of American Indian youth. For almost 50 years, MIGIZI has served American Indian youth in various innovative programs that are culturally grounded, participatory, and fully engage youth in a self-directed path to holistic wellness and success in education and employment.
THE ROLE
MIGIZI is seeking an organized and proactive Administrative Assistant to provide essential operational support to our team and direct support to organizational leadership. This role requires a "managing up" mindset—anticipating the needs of the President and Senior Directors to ensure the Executive team stays ahead of multiple priorities. The ideal candidate is detail-oriented, tech-savvy, and comfortable coordinating work across a distributed team while handling confidential information with total discretion. This position reports to the Senior Director of Organizational Effectiveness and Management.
$24 per hour
Mon–Fri, 9:00 am – 5:00 pm
KEY RESPONSIBILITIES
Executive & Board Support
- Calendar Management: Proactively manage schedules, anticipate conflicts, and prepare materials for daily meetings internal and external.
- Board Liaison: Coordinate MIGIZI Board and committee meetings, including preparing digital packets, taking minutes, and managing distribution of materials.
- Correspondence: Draft and distribute high-level emails, reports, and organizational correspondence.
- Events: Lead and Manage events with MIGIZI leadership that support development, public relations and community engagement.
Administrative Operations
- Program Support: Respond to inquiries from youth and parents; manage internal and external staffing schedules for meetings. Support Programs in data and evaluation administration.
- Transportation Support: Assist with transportation planning and coordination, including supporting van scheduling and arranging buses and additional van transportation for summer programming.
- Office Management: Research vendors, vet service contracts, and manage supplies to ensure cost-effectiveness for operations and programs.
- Database Maintenance: Maintain master contact lists for program partners, contractors, vendors, and collaborators.
- Calendar and Agendas Management: Calendar meetings internally and externally and development of agendas for meetings.
- Financial Admin: Support in processing expense reports (Divvy) and check requests for leadership; ensure receipts are tracked and coded correctly for the finance team.
- Trainings for Staff: Ensure trainings are completed and tracked that relate to staff and compliance.
- Youth Employment Administration: Coordinate and track completion of youth employment paperwork and maintain organized records in Google Drive.
Development & Communications
- Donor Stewardship: Assist with donor meetings, prospecting new funders, and gathering impact data from program staff for grant reports.
- Compliance: Help ensure the organization meets legal and funder requirements through meticulous record-keeping.
- Communications: Coordinate content for the e-newsletter, social media, and website updates to highlight MIGIZI’s programs with Dr. of Development and Communications.
- Fundraising Events: Support fundraising events with event management, logistics, programs and donor engagement.

QUALIFICATIONS
Required:
- Tech Mastery: Advanced proficiency in Microsoft Word, Excel, and PowerPoint (a skills test is required) and the Google Workspace (G-Suite) .
- Organization: Proven ability to multi-task and prioritize in a fast-paced environment.
- Communication: Exceptional written and verbal communication skills.
- Cultural Competency: Strong awareness of and commitment to the Native American communities in Minneapolis-St. Paul.
- Reliability: Access to reliable transportation for occasional travel Familiarity with creative marketing and communication tools (Canva, MailChimp, Wix, Facebook, Instagram, TikTok
- Clearance: Ability to pass a criminal background check.
Preferred:
Experience with donor management systems (e.g., Salesforce).TERMS & COMPENSATION
Status: Full-time, Non-Exempt.
Hours: Mon–Fri, 9:00 am – 5:00 pm
Salary: Starting at $24.00/hour.
