Administrative Assistant - Weatherization
Sustainable Resources Center (SRC) is a Minnesota non-profit that has been administering energy and healthy homes programs for 49 years and has helped tens of thousands of families live in safer and more efficient homes.
This position:
- pays $20.00 per hour to start.
- is full-time (8 hours per day, Monday through Friday) and permanent.
- is non-exempt (eligible for overtime pay if you work more than 40 hours in a workweek).
- is performed on-site and has no remote component.

8 hours per day, Monday - Friday, worked in our office in southeast Minneapolis. There is no remote component to this position.
Daily hours are flexible and can be set in collaboration with your supervisor.

In addition to being computer-savvy, good with office equipment like copiers and scanners, and quick to learn new software and systems, a qualified applicant enjoys answering questions and helping others. You value positive interactions and are ready to solve problems to ensure our clients have a smooth experience in our Weatherization program.
The primary duties of this position include Data Entry, Customer Service, File Maintenance and Coordination with Contractors:
- Entering data into a computer from various sources including accounting, statistical and related documents, and making corrections and updates;
- Verifying data for accuracy and completeness;
- Assisting in the compilation of reports, and maintaining routine informational spreadsheets;
- Contacting weatherization contractors to coordinate the completion of work orders issued, and updating program staff to arrange for inspections of completed work;
- Maintaining your tracking system and ensuring that work orders are progressing to meet their goal dates;
- Returning phone calls from people with questions about the weatherization department and its programs, as well as answering questions and handling concerns from current clients;
- Collecting and processing applications and program files, including entering program information into an automated system, compiling client information, and maintaining weatherization forms;
- Creating and sending outreach mailings for the weatherization program;
- Maintaining files, and researching records for various information as requested;
- Processing documents and forms including general correspondence, reports, schedules, and memoranda from rough draft or verbal instruction;
- Maintaining a variety of records such as inventory and purchase records, and resolving errors on orders and invoices as necessary, and
- Special projects and related weatherization duties under the direction of your supervisor.
Physical Demands and Working Environment:
Environment: Standard office setting in a modern one-story building in SE Minneapolis. There is no remote component to this position.
Physical Demands:
- Mobility: Employees require sufficient mobility to work in our office setting, including standing or sitting for prolonged periods of time, and operating office equipment such as a telephone and computer keyboard. Job requires lifting up to 5 pounds on a daily basis, and up to 30 pounds rarely.
- Communication: Employees must verbally communicate in English to exchange information in person and particularly on the telephone.
- Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens, printed documents, and to operate office equipment.
- Hearing: Hear in the normal audio range with or without correction; hearing sufficient to communicate in person and over the phone.
Your qualifications:
- High School diploma or equivalent.
- Fluency in English.
- Excellent customer service skills, especially on the phone.
- Respect for diversity, particularly ethnic and socioeconomic.
- Familiarity with Microsoft Office 365.
- Able to understand and carry out oral and written instructions.
- Clear and concise communication, both orally and in writing.
- Ready and willing to learn the operations and activities of the weatherization program, including departmental policies, procedures, rules, regulations, and instructions.
- Accurate with details, including using math to calculate transactions.
- Organized and able to plan and re-plan work to meet changing priorities and deadlines.
- Adaptable with changing technologies.
Experience with construction, weatherization programs, accounting, record-keeping or a combination of such experience is a plus.
